Role-based email addresses: what they are and should you send to them?

A role-based email address belongs to a job or team rather than a person, such as info@, sales@, support@ or admin@. Messages usually land in a shared inbox or are forwarded to several people. Role accounts can be perfectly deliverable, but they behave differently from personal addresses, so it's worth knowing which ones are on your list.

Examples of role-based email addresses

  • info@, hello@ and contact@ for general enquiries
  • sales@, support@ and billing@ for departments
  • admin@, webmaster@ and postmaster@ for technical roles
  • hr@, jobs@ and careers@ for hiring

Why role accounts matter

  • Several people may read the inbox, and most of them never signed up for your emails
  • Shared inboxes tend to have more unsubscribes and spam complaints for marketing email
  • The people behind the address change over time, so engagement can drop without the address ever bouncing
  • Some email platforms limit or discourage sending marketing email to role accounts

Is a role-based email valid?

Often, yes. A role account can exist and accept mail like any other address, so verification may mark it Passed. Being a role account is about who reads it, not whether it works. That's why EasyMailVerify reports it as a flag on top of the result instead of failing the address.

How EasyMailVerify flags role accounts

When an address is a role account, EasyMailVerify adds a Role account flag to the result, in the dashboard, in CSV exports and in the API response. The Passed, Failed or Unknown result is reported as usual, so you can decide what to do with role accounts separately from deliverability.

Frequently asked questions

What is a role-based email address?

An address tied to a job or team instead of one person, such as info@, sales@ or support@. It's also called a role account.

Should I remove role-based emails from my list?

Not always. Keep role accounts that asked for your email, and segment or remove them for marketing sends where nobody opted in personally.

Does EasyMailVerify detect role-based emails?

Yes. Role accounts get a Role account flag in the dashboard, CSV exports and the API, alongside the normal Passed, Failed or Unknown result.
